ZOOM PHONE UCaaS SOLUTION FOR EDUCATION
Plan. Implement. Provide. — Three words. Thirty-one years of refinement.
Why Education
Why Now
Why ServiceMark
This is our ServiceMark story, a story about what happens when a 31-year-old company that has never lost a customer to a bad installation meets a moment in education where everything is changing — and most providers aren’t ready for what that change actually requires.
1. The Shift Nobody Saw Coming in Education
When the world moved to cloud communications in 2020, education didn’t follow. School districts stayed on-premise — not because they were behind, but because cloud providers hadn’t figured out how to price technology for environments where a phone in a third-grade classroom has a fundamentally different job than a phone on an administrator’s desk.
That changed in 2023. For the first time, ServiceMark experienced K-12 and higher education institutions beginning to choose VoIP Cloud Based Unified Communications as a Service (UCaaS) Solutions as opposed to on-premise pbx phone systems. The tipping point accelerated in April 2024 when NEC — one of the top three on-premise phone system manufacturers in the world — announced it was exiting the hardware-based phone system market globally (except Japan). The irony? By spring 2025, NEC itself deployed Zoom Phone for approximately 110,000 users. In addition to NEC, other top on-premise phone system manufacturers escalated end of life, end of support.
The on-premise era in education is over. The question is no longer whether districts move to cloud communications — it’s who they trust to get them there.
2. The Real Pain: What Keeps an IT Director Up at Night
Here is the truth about what an IT director in a small private school district actually fears:
“If internet goes down for 30 minutes, it’s gonna be my job. The phone system could be down for 2 days, and most people won’t even notice.”
The reality is most classroom teachers may not notice. But, as I was reminded by an IT Director of a large suburban school district, office staff answering calls from parents will notice and feel the pain. And if someone has to call 911 and the phone system is down, or if 911 doesn’t work properly, everyone notices and cares.
The pain for IT Directors is not about features. It’s about survival. It’s about being the person who gets blamed when something goes wrong and being invisible when everything works. And now, layered on top of that daily anxiety, are federal compliance with changes in E911 law with mandates that carry real consequences:
- Kari’s Law — Requires direct 911 dialing without needing to dial an access code (like “9”) and contemporaneous on-site notification (such as administrative phones or a staffed security office) when a call to 911 is made.
- RAY BAUM’S Act — Requires calls made to 911 must convey “dispatchable location information to the 911 call center (PSAP) to enable the speediest response to the person in distress. For most K-12 school districts and college campuses, dispatchable location information should automatically convey to the 911 PSAP not only includes the physical address, by additional information such as room number, floor, wing, etc.
On a legacy on-premise phone system, achieving RAY BAUM’s compliance may not be possible, especially with systems that are end of life—end of support. At best compliance on an on-premise phone system requires a SIP trunk provider, and an on premise phone system provider working together. In one case, to address RAY BAUM’S Act, a suburban school district had to utilize an additional third party E911 service provider that required a fixed fee engagement of $57,000, and additional annual costs of over $15,000 above and beyond all existing costs for the on-premise phone system and service, and nearly a year of implementation time – and it still fails if someone unplugs a phone and plugs it into a different jack. On Zoom Phone, the dispatchable location is tied to the physical data switch port. It’s simpler, more reliable, and is easily managed after deployment.
3. Protecting Our Future Investment
|
We need to ensure that we’re protecting our future investment, which is our teachers and our children. And we’re doing that by meeting the compliances that our government has put in place — because we understand what’s happening in the world today.
|
This is not a compliance checklist. This is a conviction. In the United States, education isn’t the safest environment. Every parent who drops their child off at school trusts that the adults in charge have done everything in their power to protect them — including making sure that when someone dials 911 from a second-floor science lab, first responders know exactly where that call came from.
ServiceMark didn’t wait for the law to tell us this mattered. In 2019 — a full year before Kari’s Law became federal law in February 2020 — ServiceMark entered into an engagement with communications technology attorney Martha Buyer who was integral in getting the FCC to take notice and stimulated the process that yielded Kari’s Law. From our experiences, including Bruce Gibbs involvement as a board member of the INPG Partner Group (former NEC Dealer Association) that represents on-premise and cloud partners nationwide, we know of no other company in this space that has stayed as abreast of, or taken as seriously, the intersection of communications technology and life safety in schools related to Kari’s Law and RAY BAUM’s Act.
4. The Secret Sauce: Pricing That Actually Works for Education
Most providers quote education the same way they quote everyone else — limited license tiers, multiplied across every phone in the district. That approach generated proposals from other providers of $230,000 to $600,000 annual recurring costs for a suburban school district.
ServiceMark sees what others don’t: not every phone has the same job.
- Classroom phones may only need to do a few things — be there for internal communications and emergency dialing, phone calls, and voice mailboxes for the teachers. They don’t need video, AI Companion, or Zoom Clips.
- Front office and main answering positions need robust call handling, auto attendants, and call queuing.
- Administrators and IT directors need and can benefit from the full Zoom Workplace experience — Zoom Video Conferencing, Zoom Clips, AI Companion, making and receiving phone calls, text messages, and voice mail messages from applications that extend to computers and smart phones, and advanced analytics — the tools that let them do their jobs and document institutional knowledge.
By tiering technology to actual need, ServiceMark can provide Zoom Phone, the most powerful VoIP Cloud-based VoIP UCaaS solution in the world for those users that need the full power of Zoom, yet keep the annual recurring costs within reason — not by cutting corners — but by understanding that a phone in a kindergarten classroom has a fundamentally different job than the communications tools needed by an administrator.
5. Plan. Implement. Provide. — The ServiceMark Difference
Three words. Thirty-one years of refinement. This is not a mission statement in paragraph form that nobody reads or remembers — it is an operational discipline that governs every engagement ServiceMark delivers.
“One of the things I never wanted a technician to say to a customer is, ‘the salesman told you what?’ … This probably never happened in the history of our company.”
— Bruce Gibbs, ServiceMark Founder
5.1 Plan — With Precision That Prevents Problems
Diagnostic Network Testing
Before a single phone is deployed, ServiceMark installs diagnostic testing tools that simulate thousands of phone calls over a one-week period at the customer’s facilities. A detailed voice-quality report is generated and shared with the district. Any issues are identified and resolved before go-live, not after.
Questionnaire & Extension Audit
A structured questionnaire and extension list is emailed to the district. The district fills out their portion; ServiceMark reviews it alongside a “Project Transition Form” checklist generated from collaborative Zoom meetings.
Phone Number Inventory & Porting
ServiceMark reviews carrier Customer Service Records (CSRs), compares them against numbers currently in service, submits porting documents, and manages the process to a confirmed port date. No number is lost. No line is orphaned.
Installation Worksheet (IWS)
A comprehensive planning and design document — drafted by ServiceMark, refined collaboratively — that documents every auto attendant, call flow, and routing decision before programming begins. Collaborative Zoom meetings between ServiceMark’s project management team and The District will be followed by written documentation to clearly communicate the expectations to all stakeholders.
5.2 Implement — Built and Tested Before It Touches Your Network
Off-Site Programming & Testing
Every call flow is programmed and tested — ensuring that every auto attendant, ring group, call queue, and routing rule works as intended before it ever enters the district’s environment.
Device Pre-Staging
End-user devices (e.g., Yealink phones) are pre-staged, configured, and verified at ServiceMark before being delivered on-site.
On-Site Go-Live Support
If required and requested by The District, ServiceMark technicians are on-site on go-live day. Final testing of inbound and outbound calls occurs before the porting of phone numbers, so any issue is caught in a controlled window — not during live operations.
5.3 Provide — Training That Sticks, Support That Lasts
Video Library
Practical, hands-on training videos for Yealink phones, Zoom Desktop App, and Zoom Mobile App — available on ServiceMark’s website (servicemark.net/zoom-end-user-training-videos) and via Zoom Clips with summaries, downloadable guides, and transcripts.
Live Orientation
End-user orientations via Zoom meeting, plus targeted training for high-volume users and main answering positions.
Follow-Up Q&A
A dedicated live follow-up session to answer questions after users have had hands-on time with their devices and apps.
Admin Training
Comprehensive system administrator training — prepared, documented, and delivered — so the district’s IT team is empowered, not dependent.
Ongoing Support
ServiceMark Premier Support — not a toll-free number to a big call center, but direct access to the same team that planned and built your Zoom UCaaS Solution.
The Zoom Clips Story When a ServiceMark employee transitioned from a full time to a limited part time role, Zoom Clips fully captured and transferred her payroll-processing knowledge and employee benefits processes to Bruce. The result? “Not one time did I (Bruce) have to pick up the phone and call her for a question.” For education, Zoom Clips serves a dual purpose: operational efficiency (async onboarding for new staff each school year) and institutional knowledge preservation (the departing staff member’s procedures don’t walk out the door with them).

6. Accountability as a Trust Signal
Most marketing says “we’re here for you.” ServiceMark says something different — and it resonates precisely because it’s different:
“We are accountable, and in turn, we expect accountability from our customers.”
That statement alone triggers a psychological response: “Make me accountable. Make me stay on timeline.” It signals that responsibility is shared, not one-sided. It tells a superintendent or IT director that ServiceMark won’t just sell them a system and disappear — and that ServiceMark also won’t let the district’s side of the project slide. The relationship is real, and it runs in both directions.
We are accountable. And in turn, we expect accountability from our customers. That’s what makes a partnership. It means we stay on timeline, and so do you. And you can expect the people who planned, implanted, and provided training for your Zoom Phone UCaaS solution are the same people who answer the phone when you call six months later.
7. Why Zoom — The Platform Behind the Promise
- 10 million Zoom Phone seats sold worldwide
